Privacy notice
In plain language: what we collect when you apply, why, and your rights under POPIA (South Africa’s Protection of Personal Information Act).
Who is responsible
Madrasatu Shakūr is the responsible party for the information you give us. Our Information Officer is Sh. Shafiek Ebrahim.
What we collect, and why
When you apply we ask for the student’s name, date of birth, gender (for class placement), suburb, and optionally their school and grade, Qur’ān level and any allergies. Allergies are health information, which the law treats as special personal information: we ask only so staff can keep the student safe in class, you may leave it blank, and only the office can see it. We ask for the parent or guardian’s name and a mobile number so the office can contact you. We use this only to process the application and place the student in a class. We do not ask for ID numbers, street addresses, documents or photos.
Consent
For a child, a parent or guardian must tick the consent box on the form. By ticking it you agree to us using the information as set out here, including any allergy details you choose to give.
Who sees it
Only signed-in madrasah office staff. We do not sell or share it with anyone else.
Where it is stored
The website and the application records are run on Google’s Firebase service, which works for us under its own data protection terms and may not use your information for anything else. Applications are stored in Google’s data centre in Johannesburg. When you submit, your answers pass through Google’s servers in Belgium for a moment to be checked before they are saved; nothing is kept there. Belgium is covered by European data protection law, which gives protection at least as strong as South Africa’s.
The WhatsApp message
After you submit, WhatsApp opens on your phone with your main answers written out, so you can send them to the office. It leaves your phone only if you press send. Allergies and any notes are left out of that message.
How long we keep it
Applications that do not lead to a place are deleted after 1 year. When a student enrols, their details become part of the madrasah’s school records, kept under the student’s name for as long as the madrasah needs them, as every school does. They are used only by the principal and the office for running the madrasah, and are never sold or shared.
Your rights
You may ask to see or correct the information we hold about you or your child, or to delete it. Applications that did not lead to a place can be deleted on request. Records of enrolled students are school records, so we keep them, and if you ask us to delete one we will explain why we cannot.
